Job Description:

 

  • Provide high-level administrative support to the Director of Administration, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Assist the Operations Manager and HR Manager with various tasks and projects as needed.
  • Prepare and organize documents, reports, and presentations, utilizing advanced Excel skills including pivot tables, VLOOKUPs, and data visualization techniques (charts/graphs).
  • Collaborate with senior leadership to craft impactful presentations that convey complex information clearly and effectively.
  • Maintain confidentiality and exercise discretion in all interactions, particularly regarding sensitive information.
  • Coordinate and facilitate communication between departments, ensuring that all stakeholders are informed and aligned.
  • Manage special projects and initiatives as assigned, demonstrating strong project management skills.
  • Perform additional administrative tasks as required to support the executive team.

Requirements / Qualifications:
  • Bachelor’s degree preferred; relevant experience may substitute for education.
  • Minimum of 5 years of experience as an Executive Assistant or in a similar administrative role, preferably within the legal or finance sectors.
  • Exceptional proficiency in Microsoft Excel, including advanced functions such as pivot tables, VLOOKUPs, and data visualization (charts/graphs).
  • Strong organizational skills with the ability to prioritize tasks and manage multiple deadlines.
  • Excellent written and verbal communication skills.
  • High level of professionalism and ability to work independently with minimal supervision.
  • Familiarity with presentation software (e.g., PowerPoint) is a plus.
