Job Description:
- Calendar Management: Maintain and organize calendar, ensuring that meetings, calls, and travel plans are well-coordinated and optimized.
- Travel Management: Arrange complex travel schedules, including flights, accommodations, and itineraries across different time zones.
- Expense Management: Track and process expenses, ensuring timely and accurate submissions.
- Presentation Preparation: Assist in the preparation of presentations and decks for meetings, ensuring all materials are organized and ready.
- PA Support: Provide light personal assistance when needed, adapting to changing needs and priorities.
- Collaboration: Partner with internal teams, particularly the events team (who handles event planning), to ensure smooth coordination of activities.
Requirements / Qualifications:
- Experience: 3-6 years of experience in an executive support role. Previous experience as an EA is preferred, but not required.
- Skills: Strong organizational skills, attention to detail, and the ability to multitask. Proficiency in Microsoft Office Suite and calendar management tools.
- Adaptability: Ability to work independently, adjust quickly to changing priorities, and manage tasks efficiently in a dynamic environment.
- Personality: A proactive, go-getter attitude, and the ability to engage with others with professionalism and positivity.
- Travel Flexibility: Comfortable with travel arrangements and schedules that may change frequently.
- Work Ethic: Demonstrates a high level of discretion, accountability, and responsibility.
Hours:
- Full-time, Monday through Friday, from 8:30 AM to 5:30 PM with flexibility as needed.
- Must be available to work in-person 5 days a week in the Greenwich, CT office.
