Job Description:

As a Floater Executive Assistant, you will provide high-level administrative support to various executives and teams across the firm. This role requires a proactive and adaptable individual who can seamlessly transition between different departments and priorities, ensuring that all administrative functions run smoothly. The ideal candidate will possess exceptional organizational skills, a strong attention to detail, and the ability to thrive in a fast-paced environment.

Key Responsibilities:

  • Administrative Support: Provide comprehensive administrative support to executives, including calendar management, travel arrangements, meeting coordination, and expense reporting.
  • Cross-Departmental Assistance: Float between different departments as needed, offering administrative support and ensuring seamless operations across the firm.
  • Communication Management: Act as a liaison between executives, internal teams, and external clients. Handle incoming communications with professionalism and discretion.
  • Document Preparation: Prepare and edit correspondence, presentations, reports, and other documents. Ensure all materials are accurate and well-organized.
  • Project Coordination: Assist with various projects and initiatives, providing organizational support and ensuring deadlines are met.
  • Office Management: Help maintain a professional and efficient office environment, including managing supplies, equipment, and facilities.
  • Confidentiality: Handle sensitive information with the utmost confidentiality and integrity.

Requirements / Qualifications:

Qualifications:

  • Bachelor’s degree or equivalent experience.
  • 3-5 years of experience as an executive assistant or in a similar role, preferably in a financial services or asset management environment.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
  • Exceptional organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and accuracy.
  • Ability to work independently and collaboratively in a team-oriented environment.
  • High degree of professionalism and discretion in dealing with confidential information.
