Summary

We are seeking a highly organized and proactive Team Administrative Assistant to support our Real Estate Team.  This person will be a primary point person for all things calendar/travel/expenses.

Job Description:

 

  • Executive Support: Provide comprehensive administrative support to Senior Managing Directors (SMDs) and senior team members, including calendar management, travel arrangements, and meeting coordination.
  • Team Coordination: Assist in coordinating activities and communications across the Real Estate team, ensuring alignment with overall business objectives.
  • Meeting Preparation: Prepare agendas, documents, and presentations for meetings. Take detailed meeting minutes and follow up on action items as needed.
  • Travel Management: Arrange and coordinate complex domestic and international travel itineraries, including booking flights, accommodations, and ground transportation.
  • Expense Management: Manage and process expense reports for SMDs and senior team members, ensuring compliance with company policies.
  • Event Planning: Organize team events, offsites, and other corporate functions, ensuring all logistics are handled efficiently.
  • Communication Management: Act as a point of contact for internal and external communications, ensuring timely and accurate information flow.
  • Ad-hoc Projects: Take on special projects as assigned, demonstrating flexibility and the ability to work independently.

Requirements / Qualifications:

Experience:

  • Proven experience as an Executive Assistant or in a similar administrative role within the financial services industry.
  • Experience supporting senior executives, including managing complex schedules and sensitive information.

Skills:

  • Exceptional organizational and multitasking abilities.
  • Strong attention to detail and accuracy.
  • Excellent verbal and written communication skills.
  • Proficiency with Microsoft Office Suite (e.g., Excel, PowerPoint, Outlook).
  • Ability to work in a fast-paced environment and handle multiple priorities with professionalism and efficiency.
