Our client a law firm is looking to find a Office Assistant for its downtown Chicago office. You'll support five attorneys, two in Chicago and three in another of the firm's offices, while helping keep the Chicago office running smoothly day to day. The role blends general administrative support with hands-on legal clerk work, making it a great way to get your foot in the door at a law firm.
Responsibilities:
- Provide administrative support to five attorneys, including answering phones, scheduling meetings, managing calendars, and coordinating travel
- Help manage the day-to-day operations of the Chicago office, including coordinating with visiting attorneys
- Greet and assist visiting clients professionally
- Coordinate technology and equipment issues with the firm's IT department
- Monitor office supplies and coordinate office maintenance as needed
- Draft and proofread internal and external correspondence
- Coordinate with internal departments, including Word Processing, HR, IT, and Library
- Check due diligence sites for transactions, and download, organize, and save materials in iManage
- Update and maintain closing checklists, coordinate signature page packets, and compile closing sets
- Handle filing, scanning, photocopying, file maintenance, and light word processing and formatting
- Proofread forms, correspondence, and legal documents for accuracy and consistency
- Contact outside agencies to obtain information and documentation
- Enter and update information in databases and spreadsheets, and generate reports
- Handle confidential information with discretion
- Take on other administrative and clerk duties as assigned
Requirements:
- 1–2+ years of administrative or clerical experience
- High school diploma or equivalent; coursework in office administration, business, or a related field is preferred
- Proficiency in Microsoft Office, including Word, Excel, and PowerPoint
- Strong organizational and time-management skills
- Excellent attention to detail and accuracy
- Strong communication and interpersonal skills
- Ability to juggle multiple tasks and prioritize effectively
- A proactive, problem-solving attitude and eagerness to learn new systems
- Ability to work independently and as part of a team
- Commitment to confidentiality and professionalism
- Comfort working at a computer for extended periods and occasionally lifting up to 25 pounds
- Availability to work 100% onsite, Monday–Friday, 8:30 AM–5:00 PM, starting ASAP
- Ability to pass a background check
