Job Description:

Administrative Support:

  • Manage the executive’s calendar, schedule meetings, and prioritize appointments to ensure efficient time management.
  • Prepare and organize materials for meetings, including agendas, presentations, and reports.
  • Handle incoming communications, including phone calls, emails, and messages, ensuring timely and appropriate responses.
  • Travel Coordination:
  • Plan and coordinate complex travel itineraries, including flights, accommodations, and ground transportation, with attention to cost-effectiveness and time efficiency.
  • Anticipate travel needs and manage travel-related documentation and expenses.
  • Project Management:
  • Assist with ad hoc projects and initiatives as assigned by the C-Suite Executive, ensuring timely completion and alignment with organizational goals.
  • Conduct research and prepare briefs on relevant topics to support decision-making processes.
  • Relationship Management:
  • Serve as a liaison between the executive and internal/external stakeholders, building and maintaining strong relationships.
  • Coordinate and facilitate communication across departments to ensure smooth operations.
  • Confidentiality & Discretion:
  • Handle sensitive information with utmost confidentiality and professionalism.
  • Exercise sound judgment in managing competing priorities and maintaining the executive’s focus on strategic objectives.

Requirements / Qualifications:
  • Bachelor’s degree or equivalent experience preferred.
  • 7+ years of experience supporting C-Suite executives or senior management in a fast-paced environment.
  • Proven track record of managing complex calendars and travel logistics.
  • Strong organizational and time-management skills with the ability to multitask effectively.
  • Excellent written and verbal communication skills.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with project management tools.
  • Demonstrated ability to work independently and collaboratively as part of a team.
  • High level of integrity and professionalism, with a proactive and positive attitude.
