Job Description:
- Own the accuracy of the firm’s data and research inventory — subscriptions, users, services, and entitlements — within Optimize Spend (FITS)
- Process adds, changes, transfers, and terminations of market data services, maintaining clean audit trails
- Review, validate, reconcile, and allocate vendor invoices; coordinate payment and resolve discrepancies with vendors, Finance, and internal teams
- Contribute to monthly accruals, spend reporting, and budget tracking
- Reconcile vendor entitlement reports against internal records and flag optimization opportunities
- Build operational reports, forecasts, and metrics covering inventory, spend, and vendor activity
- Support colleagues during contract renewals by validating usage, inventory, and billing data
- Maintain documentation for data sources, workflows, and governance processes
- Assist with exchange audits and compliance inquiries
- Identify opportunities to streamline processes and improve data quality and operational efficiency
Requirements / Qualifications:
- Bachelor’s degree or equivalent practical experience
- 3–5 years in market data administration, vendor management, or market data operations at a hedge fund, asset manager, investment bank, or similar financial services firm
- Direct, hands-on experience with Optimize Spend (FITS) from The Roberts Group
- Background managing market data inventories and handling vendor invoicing
- Strong Excel skills — PivotTables, XLOOKUP, and general data analysis
- Sharp attention to detail and strong organizational instincts
- Solid analytical, communication, and problem-solving ability
- Comfort managing multiple priorities and deadlines in a high-tempo environment
